Policy Management as a Service October 2024 Enhancement Release

Protocol Policy Systems are pleased to announce the forthcoming October release of new and enhanced features for Policy Management as a Service (PMaaS).

During October the following new functions will be provided with this release:

Tasks/Actions

Assign tasks and actions to policy statements, track their progress and resolution.  In the Client Menu a new option will display the tasks that have been input along with information about the statements associated with those tasks, the task owners, task status, priority and due date. When tasks have been completed they can be marked as resolved.

AI Content Report

Primary Users will be able to generate a report in Word format showing all the statements within their service that contain references to Artificial Intelligence (AI). The content will be sorted and grouped by user type and policy topic.

Report Scheduler

The report scheduler can be used to generate and send PMaaS’ predefined reports on a weekly, fortnightly, or monthly basis to a nominated email address or addresses.

The scheduler is applicable to the following reports (depending on PMaaS version):

  • User Compliance Report
  • User Acceptance Report
  • Page Views Report
  • User Views Report
  • Weekly Summary (4 different outputs)
  • Out of Compliance report (users that have not accepted a policy)

Compliance Index Export

This function will export a compliance index (e.g. PCI) to a spreadsheet (XLSX) and includes the target of any mappings (e.g. the associated policy statements). 

 

The following amended functions will be provided with this release:

Word Output - Merge Policy Content

This new enhancement allows a Primary User to export a Word file that merges the user, manager and technical content of a policy document , for example, the Access Control Policy - user, manager and technical contents – can be output as a single combined Word document. 

Policy review dates – global update

The Policy Settings page  will allow for  changes to the Policy Approver, Next Review Date and Review Cycle fields to be applied globally to all the policies. 

Exception register

Primary Users will be able to move a resolved exception back to the open exceptions list, and enter multiple active exceptions against any single policy statement. 

Questionnaires – collaboration improvements

A new user role will be added to allow Primary Users to grant any active site users with the ability to access and provide responses to questionnaires, making the questionnaire process a more collaborative exercise.

When a policy questionnaire is exported to CSV it will also contain the original policy statement and explanation texts.

Filters added to change log

New filtering options have been added to the Change Log - drop downs on the headers of the Menu, Page and Section columns allow for the unique values in those columns to be used for data filtering purposes.
