Policy Management as a Service April 2025 Enhancement Release

Protocol Policy Systems are pleased to announce the forthcoming April release of new and enhanced features for Policy Management as a Service (PMaaS).

 

During April the following new functions will be provided with this release:

Support for additional governance policy content

PDF documents supplied by the client to PPS can be uploaded to their unique instance of Policy Management as a Service (PMaaS). Click to watch a short introduction video on this new feature.

New menu headings and sub-items can be added to PMaaS’ left hand menu to categorise the additional governance policy content. The new menu headings will be displayed in the same way as existing options such as ‘About’ or ‘Navigation’ with a chevron that opens the list of sub-items. Each sub-item will be a link to a PDF document.

If required, the visibility of the additional governance policy content can be limited to specific PMaaS user types – User, General Manager, Technical, Technical Manager, Contractor and/or Prospective Employees.

If a customer requires a user to review and accept any of the additional governance policy content documents on-screen, then the display can include an acknowledgement block at the bottom of the PDF document in the same way as a normal PMaaS policy (please note this function is only available to customers on the Premium version of PMaaS).

A selection of functions are also available to manage the ownership of the additional governance policy content, such as assigning a policy owner, review date and review cycle, which will automate the release of policy review reminders.

For PMaaS Premium customers, the additional governance policy content will also feature in reports generated on policy acceptance activity.

Add a brand new statement to an existing policy

Primary Users will be able to request a new statement to be added to a policy. Currently the change request function only applies to existing statements. This enhancement will see a new button on the Content Change Request page, labelled “New Policy Statement Request”. The request can be made using a dropdown box to select the appropriate Policy to add the new statement to, the content area (User/Manager/Technical), and a text box to type in the wording of the new statement and explanation. Once submitted, the request will appear on the Change Request page showing the request details and date of actioning.

The following amended functions will be provided with this release:

Export All Combined Word Documents 

All the policy documents collated by topic and persona (user/manager/technical) will be output in Word format using a zip file.

Policy Review Reminder includes SSO link

Emails generated by the current “Send Policy Review Reminders” function will now include an SSO link to make it easy to access the policy referenced in the reminder email.

Policy Review emails

The content generated for the Policy Review Reminder email and Policy Review Date pending email has been revised to make the messaging more succinct.

Name of Councillor

For our local government clients, the acceptance section of the Councillor Policy Word document will include the wording: “Name of Councillor”.
